The Monthly Reports Every Business Owner Should Actually Be Reading
Lamin’s accountant sends him a report every month. He opens the email. Sees the attachment. Forwards it to a folder. He’s never actually read one.
He’s not alone. Generating reports is easy now, software does it automatically. Reading them is where the real value sits.
Report One: Profit and Loss
Shows if you made money or lost it. Most owners only check the bottom line and skip everything above it.
What actually matters: which expense categories are growing faster than revenue. If profit is shrinking while sales stay steady, this is where the leak is.
Report Two: The Balance Sheet
A snapshot of what you own and owe on one date. Most skipped report. Biggest mistake.
It tells you if you’re building something solid, or just moving money around.
- Growing debt without growing assets? Warning sign.
- Cash sitting idle while bills pile up? Same.
Report Three: Cash Flow
Profit and cash are not the same thing. A business can show profit on paper and still run out of money to pay staff next month.
Watch for this pattern: profit looks healthy, cash keeps shrinking. Usually means money is tied up, unpaid invoices, excess stock.
Report Four: Accounts Receivable Aging
Shows exactly who owes you, and for how long.
- Unpaid 60+ days? Call, don’t email.
- The longer it ages, the less likely you collect it.
Why Owners Skip These
Usually not laziness, nobody explained what to look for. A report full of numbers with no context feels like homework, so it gets filed, not read. The fix isn’t more reports. It’s fewer, explained clearly, reviewed on a schedule you’ll actually keep.
A Simple Monthly Habit
- Block 30 minutes, once a month.
- Check four numbers: profit trend, cash position, outstanding debt, invoices over 60 days.
That alone puts you ahead of most business owners in The Gambia.
Lamin started this three months ago. Caught a slow leak in supply costs in week one, would’ve taken a year buried in a spreadsheet.
Which of your four reports have you actually opened this month?
